What job management software actually saves
Not the hours the ads promise: the retyping, the chasing and the paperwork, and you can work out what that's worth in two minutes.

Every job app claims to save you hours a week. We looked for an independent Australian study that measures how much time job software saves a trade business and didn't find one; the figures in advertising come from the vendors themselves. So this guide doesn't give you a number of hours. It shows where the time goes without software, which features take that work away, and how to put your own dollar figure on it.
Typing the same job three times
Without software, a job is often written three times: once as a quote in a document, again as an invoice when the work is done, and a third time when the invoice is keyed into the books. Each retype takes time, and each is a chance to get a price or an address wrong.
Job software keeps it as one record. Tradify's cheapest plan includes quoting and invoicing and syncs with Xero, MYOB and QuickBooks Online,[1] so the invoice reaches the books without being typed again. In ServiceM8, an accepted quote becomes the work order on the same job card,[2] which is the same idea from the job's side. This is the most reliable saving, because it happens on every job.
Chasing payment
The Small Business Ombudsman's advice on getting paid is a routine: confirm the customer received the invoice, check ten days before it's due that it's being processed, and make contact as soon as it's a day or two overdue.[4] Done by hand, that's a diary and a lot of phone calls.
Two features cut it down. The first is reminders that send themselves: Tradify's Pro plan lists quotes and invoices that chase themselves for approval and payment.[1] The second is getting paid before you leave the job. Tradify includes online and credit card payments from its Lite plan,[1] and ServiceM8 takes card payments on every plan, at a rate that falls as the plan rises.[2] Money in on the day is money nobody has to chase.
Records you have to keep anyway
The ATO says most business records must be kept for five years, and stored so they can't be changed or damaged.[3] A job app keeps the quote, the photos, the timesheet and the invoice together under the job, which makes those five years far easier than a shoebox of dockets. Tradify's Pro plan, for example, stores job photos and files, and records timesheets against jobs.[1]
Putting a dollar figure on it
The useful question is not how many hours an app saves but how few it needs to save to pay for itself. Divide the plan's monthly price by your charge-out rate and you have the billable time it must give back each month. If you're registered for GST, use the price without GST, because you can claim the GST back.[5]
- One person on Tradify Lite at $48 per user ex GST, charging $95 an hour: 30 minutes a month.
- A crew on ServiceM8 Growing, $71.82 a month before GST, at the same rate: 45 minutes a month, however many of the crew log in.
- Three people on Tradify Pro, $156 a month: 1 hour 39 minutes.
That is our arithmetic, not a vendor's claim. Half an hour a month is a low bar if the app stops you retyping invoices; a few hours a month is still reachable for a crew, but only if the office actually stops doing the work twice. The true hourly rate checker runs the sum on your own rate and admin hours.
What it won't save
Software doesn't save time you weren't spending. A sole trader with a few regular customers and an accountant who already does the books may save little. Setting up price lists, templates and customers takes hours up front, some apps charge a setup fee (the price table shows which), and a per-user subscription keeps growing with the crew. The saving is real when the app replaces work you do every week, not when it adds a second system beside the old one.
Work out the break-even before the trial: if the app can't give back that much billable time a month, it isn't worth it yet.
